Terms of Service

Your privacy matters to us. DentistryProfile is owned and operated by MetaParse LLC. We do not sell your personal information. We collect and use information to operate the Platform, support professional profiles, enable messaging and connections, improve safety, and comply with law.

Overview

This Privacy Policy explains how MetaParse LLC, doing business as DentistryProfile ("MetaParse," "DentistryProfile," "we," "us," or "our"), collects, uses, stores, discloses, and protects information when you access or use DentistryProfile.com, related websites, applications, communications, features, and services (collectively, the "Platform" or "Services").

By using the Platform, creating an account, submitting a profile, sending a message, requesting a connection, or otherwise interacting with DentistryProfile, you acknowledge that you have read this Privacy Policy and understand how we process information.

DentistryProfile is a professional networking and profile platform for the dental industry. It is not a clinical, patient management, dental records, credentialing verification, or HIPAA-compliant communications platform.

Scope of This Policy

This Policy applies to information collected through the Platform, including information from registered users, visitors, guests who submit messages, and people who communicate with us. It does not apply to third-party websites, services, employers, recruiters, dental practices, social platforms, payment processors, or other services that we do not control.

If you access third-party links from a profile or the Platform, those third parties may collect information under their own privacy policies. We are not responsible for their privacy practices.

Information We Collect

We collect information you provide, information generated through use of the Platform, and information from service providers or public/professional sources where permitted.

Account Information

Name, email address, phone number, login credentials, password hash, account status, role, verification status, preferences, and security/session information.

Profile Content

Profile photo, biography, work history, education, licenses, certifications, continuing education, skills, software, work preferences, custom sections, website links, social links, and profile template selections.

Platform Activity

Profile views, pages visited, referring URLs, search activity, feature usage, dashboard actions, connection requests, message metadata, status changes, and moderation history.

Location & Device Data

ZIP code, city, state, IP address, browser type, operating system, device information, approximate geographic location, timestamps, cookies, and logs used for security and analytics.

Communications

Messages sent through profiles, connection request messages, sender name, sender email, phone, company/practice, subject, message type, message text, support requests, and feedback.

Payment & Commercial Information

If paid products or subscriptions are offered, we may process billing contact details, plan information, transaction history, and payment status. Full card numbers are handled by payment processors and are not intended to be stored by us.

Sensitive and Professional Information

Your profile may include professional credentials, license numbers, employment history, and other information that can affect your professional reputation. You choose what to submit, but you are responsible for ensuring the information is accurate and appropriate to display.

Sources of Information

We may collect information from:

  • You, when you register, build a profile, submit forms, send messages, request connections, or contact us
  • Your use of the Platform, including cookies, logs, analytics, and security tools
  • Other users, such as when they send connection requests or messages involving you
  • Guests who submit messages through public profile contact forms
  • Service providers that help us host, secure, analyze, email, support, or operate the Platform
  • Public or professional sources, such as licensing or credential databases, where permitted and relevant

How We Use Your Information

We use information for business and operational purposes, including to:

  • Create, authenticate, maintain, and secure accounts
  • Display and operate professional profiles and public profile pages
  • Enable profile messaging, connection requests, alerts, and notifications
  • Allow users to manage profile visibility, message preferences, and connection preferences
  • Detect, prevent, investigate, and respond to spam, fraud, abuse, scraping, unauthorized access, credential misuse, and policy violations
  • Moderate content, messages, accounts, and connection activity where needed for safety, support, abuse prevention, legal compliance, or policy enforcement
  • Analyze usage, profile views, performance, and feature adoption
  • Improve, personalize, troubleshoot, and develop the Platform
  • Send transactional emails, alerts, confirmations, password reset emails, security notices, and administrative communications
  • Send optional product updates or marketing communications where permitted by law and your preferences
  • Comply with legal obligations, enforce our Terms, and protect rights, property, and safety

We may use aggregated, de-identified, or anonymized information for analytics, reporting, product development, benchmarking, and business purposes.

Public Profiles and Search Visibility

DentistryProfile is designed to help dental industry professionals create and share professional profiles. Information you place on a public profile may be visible to anyone with access to the profile URL and may be indexed, cached, copied, screenshotted, saved, or shared by search engines, visitors, or third-party services.

You should not post private, confidential, proprietary, patient, or sensitive personal information that you do not want publicly available. We may offer visibility controls, but we cannot control how information is used once it has been accessed, copied, or indexed by others.

Do not post protected health information, patient photographs, case details, or patient-identifying information on your profile or in messages.

Messages, Connections, and Moderation

The Platform may allow registered members and, where a profile owner permits it, guests to send profile messages or connection requests. We store message content, metadata, sender details, recipient details, timestamps, IP address, user agent, status, and moderation information.

Profile owners may choose whether to allow profile messages, connection requests, guest messages, and email notifications. If you send a message as a logged-in member, we may fill sender details from your account. If you send as a guest, you may be required to provide your name, email, and other contact details.

Authorized MetaParse or DentistryProfile personnel may access and review messages, connection activity, profile content, account activity, and related metadata for support, safety, spam prevention, abuse prevention, investigation, moderation, legal compliance, or enforcement of our Terms. Administrative review does not mark a message as read for the recipient.

We may hide, flag, archive, restore, restrict, or otherwise moderate messages or connection activity. We do not promise to monitor all content or to take any particular action in response to every report.

How We Share Information

With Other Users and Visitors

Your public profile content is visible according to your profile settings and the design of the Platform. When you send messages or connection requests, the recipient may see your name, email, member status, profile link, company/practice, phone number, subject, message type, and message content as applicable.

With Service Providers

We share information with vendors and service providers that help us operate the Platform, such as hosting providers, database providers, security tools, email delivery providers, support tools, analytics providers, payment processors, and infrastructure providers. These providers may process information on our behalf subject to contractual or legal obligations.

With Verification, Compliance, and Safety Partners

Where relevant, we may use or share limited information with professional verification sources, anti-abuse tools, fraud prevention vendors, legal advisors, auditors, or compliance partners.

For Legal, Safety, and Enforcement Reasons

We may disclose information if we believe disclosure is necessary or appropriate to comply with law, regulation, subpoena, court order, legal process, government request, professional board request, or to protect the rights, safety, property, users, Platform, business, or public.

Business Transfers

If MetaParse LLC, DentistryProfile, or some or all of our assets are involved in a merger, acquisition, financing, reorganization, bankruptcy, sale, or transfer, information may be disclosed or transferred as part of that transaction.

We do not sell personal information. We do not sell your personal data to data brokers. We also do not intentionally share personal information for cross-context behavioral advertising.

Cookies, Analytics, and Tracking

We use cookies, local storage, server logs, and similar technologies to keep you signed in, protect accounts, remember preferences, maintain sessions, measure usage, prevent abuse, and improve the Platform.

Types of Cookies and Similar Technologies

  • Essential technologies: Required for authentication, security, session management, CSRF protection, and core Platform functions.
  • Preference technologies: Remember choices such as templates, settings, or display preferences.
  • Analytics and performance technologies: Help us understand usage, performance, errors, and feature adoption.
  • Security technologies: Help detect bots, abuse, fraud, scraping, credential stuffing, and unauthorized access.

You can control cookies through your browser settings, but disabling essential cookies may prevent the Platform from working correctly. We currently do not respond to "Do Not Track" browser signals because there is no consistent industry standard for how to interpret them.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. These may include access controls, password hashing, secure session practices, TLS in transit, logging, monitoring, least-privilege access, and other safeguards appropriate to the nature of the information and the Platform.

No internet-based service can be guaranteed to be completely secure. You are responsible for using a strong password, keeping credentials confidential, logging out on shared devices, and notifying us of suspected unauthorized access.

Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Policy, including to operate the Platform, maintain accounts, provide services, comply with legal obligations, resolve disputes, prevent fraud and abuse, enforce agreements, maintain business records, and protect our rights.

If you delete your account or request deletion, we will take reasonable steps to delete or de-identify information, subject to legal, operational, backup, security, dispute-resolution, moderation, fraud-prevention, and legitimate business retention needs. Some information, such as security logs, billing records, moderation records, and communications involving other users, may be retained where appropriate.

Archived messages are not necessarily deleted. They may remain stored for the recipient, moderation, safety, legal, or business purposes unless and until deleted or de-identified under applicable retention practices.

Your Privacy Rights and Choices

Depending on your location and applicable law, you may have rights to access, correct, delete, export, restrict, object to, or opt out of certain processing of your personal information. You may also have the right to appeal certain decisions.

Access

Request a copy of personal information we maintain about you.

Correction

Correct inaccurate account or profile information.

Deletion

Request deletion, subject to exceptions and retention obligations.

Portability

Request a portable copy of certain information.

Opt Out

Opt out of marketing emails and manage certain profile/contact preferences.

Restrict or Object

Request limits on certain processing where applicable law provides that right.

You can update much of your information through your dashboard. To make a privacy request, contact privacy@dentistryprofile.com. We may need to verify your identity and may deny requests where permitted by law.

State Privacy Notices

Residents of California, Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws may have additional rights under applicable law. These may include the right to know, access, correct, delete, obtain a copy, opt out of certain targeted advertising or sale/sharing, and limit certain sensitive-data processing.

We do not sell personal information as that term is commonly understood. We do not knowingly sell or share personal information of minors. If our practices change, we will update this Policy and provide any legally required opt-out mechanisms.

Categories of Personal Information

In the past 12 months, we may have collected the categories described in Section 3, including identifiers, account information, professional/profile information, internet or network activity, approximate location, communications, commercial information if payments are used, and inferences based on Platform activity.

Authorized Agents

Where required by law, you may use an authorized agent to submit a request. We may require proof of authorization and verification of identity.

HIPAA Notice for Dental Professionals

DentistryProfile is a professional networking platform, not a clinical tool, electronic health record, patient portal, or HIPAA-compliant messaging system. MetaParse LLC is not acting as a HIPAA Business Associate by providing the Platform.

Dental professionals are solely responsible for complying with HIPAA, state patient privacy laws, professional rules, and employer policies. You must not upload, post, message, transmit, or otherwise share Protected Health Information (PHI), patient-identifying information, patient photographs, or clinical case details unless you have all legally required permissions and the use is appropriate for this Platform.

  • Do not post patient names, photos, chart details, appointment details, radiographs, or any identifiable patient data
  • Do not use profile messages for PHI or clinical communications
  • Do not assume de-identification is sufficient unless it satisfies applicable legal standards
  • Immediately notify us if you believe PHI was submitted to the Platform

We may remove content, hide messages, suspend accounts, preserve records, or take other action if we believe PHI or other prohibited information has been submitted.

Children and Minors

The Platform is intended for adults who are dental professionals, dental students, dental auxiliaries, dental industry professionals, employers, recruiters, or related professional users. We do not knowingly collect personal information from individuals under 18. If we learn that a minor has provided personal information, we may delete it.

International Users

The Platform is operated from the United States. If you access the Platform from outside the United States, you understand that your information may be processed and stored in the United States and other locations where our service providers operate. Data protection laws in those locations may differ from those in your jurisdiction.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we may notify users by email, dashboard notice, or other reasonable means. The "Last updated" date reflects the most recent revision. Your continued use of the Platform after changes become effective means you acknowledge the updated Policy.

MetaParse LLC is the operator and data controller/business responsible for personal information collected through DentistryProfile, unless otherwise stated.
